The KPI that decides, not the one that decorates
We start with the question leadership asks on Monday morning and design the dashboard around it. A dashboard with thirty charts isn't management, it's decoration. Five right numbers are worth more.
Data from where it already lives
ERP (SAP Business One, Sage, NetSuite, Odoo), plant system, online store, bank, inherited spreadsheet. The dashboard reads from the source on a schedule, and the number shows up without anyone consolidating it by hand.
Checks before it's shown
Rules that verify the data before it becomes a chart: totals that don't add up, duplicate records, values out of range. The error surfaces to whoever owns the data, not to the board in the meeting.
Real time when it matters, daily when it's enough
Production and fleet need a real-time dashboard that refreshes on its own, to the second. Finance and sales are usually fine daily. We choose the cadence by use, because real time costs more and doesn't always change the decision.
Who sees what
The supervisor sees their shift; the plant manager sees the plant; leadership sees the company. Role-based permissions on the same underlying data, so the numbers agree at every level.
Where every number came from
Every KPI with a written definition: source, formula, owner. That's what ends the argument over which spreadsheet is right, because there's only one.
Frequently asked questions
- Is this the same as Power BI or Looker Studio?
- Those tools draw the chart; the work comes before them, in getting the data there correct, consolidated and checked. We use Power BI, Looker Studio or Tableau when they solve it (Looker Studio features in one of our case studies), and we build a custom BI dashboard when the data is live operations — production, fleet — or when the dashboard has to live inside the system your team already uses.
- My data is in spreadsheets. Can we start there?
- Yes, and it's often the right start: tidy the spreadsheet so a routine can read it, and the dashboard grows from there. Over time what was in the spreadsheet moves into a system, and the dashboard stays the same — only the source changes. What we won't do is build on a spreadsheet everyone edits their own way, because the number will never agree.
- How long does it take?
- A dashboard with five or six KPIs reading from one source usually takes weeks. What stretches it is the number of sources and the mess in the data: duplicate records, categories spelled three ways. Part of the project is cleaning that up, and it's the part worth most, because the problem was never the chart.
- Does a real-time dashboard cost much more?
- It costs more, because the data has to arrive on time and the screen has to refresh on its own. So we ask first: does the decision change if the number is from right now rather than this morning? In production it does, and the real screen at the top of this page works that way. In finance it almost never does, and a daily dashboard solves it for far less.
- What about data security and GDPR?
- Role-based permissions: each person sees what their role allows. The dashboard runs in your environment — or in the cloud region you choose, the EU or the UK if you prefer — with access logged, and the data doesn't pass through third-party tools you don't control. For sensitive data such as finance and payroll, the access rules are agreed with you before the first screen, and personal data is handled under GDPR, the UK GDPR or the CCPA.
- Do you build the dashboard and walk away?
- The dashboard goes live with the source connected and the routine running, and we stay on under the agreed support: adjusting a KPI when the business changes, adding a new source, fixing things when a source system updates. An abandoned dashboard becomes the report nobody trusts — which is the problem you started from. We work remotely from Brazil, with meetings in your time zone.
