Bespoke management software

For when the off-the-shelf ERP has 200 screens and none of them does what your business needs. Custom business management software with your rules written in: roles, the full flow from order to payment, and a dashboard for the owners — an ERP alternative for SMEs that have outgrown spreadsheets. Alongside, a management system we delivered.

When off-the-shelf software stopped fitting

Off-the-shelf software solves what every business has in common. What sets you apart is exactly what it doesn't do.

  • The ERP you pay for has 200 screens and your team uses 8 — but the rule that matters to your business isn't in any of them.
  • Orders, work orders, contracts or commissions live in a spreadsheet because no packaged system understands how you work.
  • Every time the operation changes, you have to change the business to fit the software, not the other way round.
  • Two people know where everything is, and the business stops when one of them goes on holiday.
  • You've already paid consultants to "configure" the ERP and it still doesn't do what you need.

What goes into the software

Six parts, built on your process rather than a generic template.

Your business rules, written in software

How you price, approve, deliver and invoice — as it is today and as it should be. Not configuring a generic ERP: your process becoming screens.

Roles and permissions

Sales, supervisors, finance and leadership with different screens and approval limits. Everyone sees and does what's theirs, and the system logs who did what.

Records that connect

Customer, product, contract, vehicle, machine — whatever your case is — created once and used everywhere. No more of the same customer entered three different ways.

The whole flow, from order to payment

Quote becomes order, order becomes job, job becomes delivery, delivery becomes invoice. Every step with a status, an owner and a deadline, without anyone pushing it along on WhatsApp.

A dashboard for the owners

What came in, what went out, what's overdue and what's due this week, on screen, with no month-end spreadsheet. The same logic as the online store's finance dashboard and the group-purchase platform we delivered.

Integration with what stays

Invoicing with VAT or sales tax, bank, accounting (Xero, QuickBooks, Sage), the group's ERP: the new software talks to what carries on existing. Bespoke software isn't an island.

Frequently asked questions

Bespoke management software or an off-the-shelf ERP?
An off-the-shelf ERP solves what's the same in every business: accounting, VAT or sales tax, payroll. Custom software solves what's only yours: the process that sets you apart. The right answer is often both — the ERP (SAP Business One, Sage, NetSuite, Odoo) handling the books and the bespoke system handling operations, integrated. If your problem is entirely accounting, the packaged ERP is the right choice, and we'll say so.
How much does custom business management software cost?
It depends on how many processes are in scope, how many user roles, what it has to integrate with, and whether it needs real time or a mobile app. We split it into fixed-price phases, quoted in pounds or dollars: the first solves the process that hurts most and fits in weeks. The full logic, with no generic price table, is on the page about how much custom software costs.
How long until we can use it?
A usable first version in weeks, not months, because we start with one process, not the whole business. The software evolves with the operation running: that's when the adjustments no meeting foresaw show up.
What if the operation changes later?
Bespoke software is built for that: the code is yours, the rules are written down, and changing an approval limit, a flow or a field is support work, not a new project. Packaged software is the opposite — which is why the business ends up changing to fit it.
Do we need a server or an IT team? What about GDPR?
No. The software runs in the cloud — in an EU, UK or US region, your choice — with daily tested backups and monitoring that alerts us before it alerts you. Your team works from the browser and their phones. Customer and employee personal data stays in your infrastructure, with access logged, and is handled under GDPR, the UK GDPR or the CCPA. If you have IT staff, we hand over documented code and work alongside them. Our team is based in Brazil and works remotely, with meetings in your time zone.
Have you built something like this before?
Yes. The group-purchase platform on this site is bespoke management software: groups, shares, instalments and multi-level commission calculated by the company's own rules, with a dashboard for each sales rep. The fleet management system is another: vehicles, drivers, alerts and preventive maintenance. Both replaced spreadsheets that were choking the operation. The team brings 25 years of manufacturing experience — we know what an operation looks like from the inside.
